Description

Supports hotel operations by managing clerical tasks, coordinating appointments, and handling guest inquiries. Organizes files, prepares reports, and assists management with daily tasks. Ensures efficient communication between departments and manages office supply inventory.

Duties & Responsibilities

  • Schedule meetings and manage calendars
  • Answer phone calls and emails and take messages
  • Take accurate and comprehensive notes at meetings
  • Help with daily time management
  • Run errands as requested
  • Plan travel, including flights, accommodation and ground transportation
  • Coordinate events and speaking engagements
  • Draft correspondence such as emails and letters

Qualifications Required

  • High school diploma or equivalent required
  • Previous experience as an assistant in a boutique hotel preferred
  • Knowledge of hotel operations and hospitality industry
  • Familiarity with reservation systems and hotel management software
  • Strong customer service skills and ability to handle guest inquiries and complaints
  • Excellent organizational and time management skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Attention to detail and accuracy in handling administrative tasks
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment

Physical Requirements

  • Ability to stand and walk for extended periods of time
  • Physical stamina to lift and carry supplies or equipment as needed
  • Manual dexterity for handling paperwork, operating office equipment, and typing
  • Visual acuity to read and interpret documents, reports, and computer screens
  • Ability to communicate effectively, both verbally and in writing
  • Flexibility to work occasional evenings, weekends, and holidays as required in a hotel environment
