Description

Grand Coastal Hotel is seeking an energetic, highly attentive, and professional Personal Assistant to support the Chief Executive Officer (CEO). This role is a pivotal support function that ensures the CEO's professional and personal schedules operate seamlessly. The PA must be adaptable, highly responsive, and capable of managing a dynamic and demanding environment with discretion and efficiency. The role includes support for both professional and personal tasks, and may require flexibility outside traditional office hours. Compensation will be aligned with the demands and nature of the role.

Duties & Responsibilities

Professional Responsibilities

  • Manage and maintain the CEO’s calendar.
  • Schedule and coordinate meetings and appointments (excluding travel).
  • Organize internal and external meetings, events, and calls, including managing agendas, logistics, and minute organization.
  • Handle select correspondence on behalf of the CEO (excluding email management).
  • Track and follow up on key business priorities and project deadlines.
  • When needed, serve as a professional liaison between the CEO and internal/external stakeholders.

Personal Responsibilities

  • Assist with coordinating regular personal appointments (non-medical).
  • Run personal errands and support personal shopping requirements.
  • May be required to assist in handling personal finances and coordinate with trusted advisors when requested.

Availability & Conduct

  • Must be flexible to work beyond standard office hours when necessary.
  • Must carry themselves with discretion, confidentiality, and a high degree of professionalism.
  • Expected to be attentive, quick-paced, confident, articulate, and capable of handling a variety of personal and professional situations with tact and poise.

Qualifications Required

  • Previous experience in a Personal Assistant or Executive Support role is highly preferred.
  • Strong command of spoken English and professional communication skills.
  • High proficiency in using computers, mobile devices, and modern office software.
  • Reasonable familiarity with Microsoft Office Suite and preferably Google Workspace.
  • Proven ability to handle sensitive information with strict confidentiality.
  • Must be bright, energetic, well-presented, and maintain a high standard of personal conduct.

Physical Requirements

  • Ability to sit, stand, and move around for extended periods.
  • May occasionally lift or carry small items (up to 20 lbs).
  • Must be mobile and able to work from multiple locations as required.
  • No travel is needed for this role.
